Hull university and Kexgill

Dear Client

Following our conversation it would be prudent to set up the relationship between yourself and Hull for the first wave of students in May in the following way.


Invite Hull University as a member of your team

Allowing Hull to be part of the team will ensure that prospective tenancies are added by them.


Hull university adds the tenancy

When adding a tenancy the university should add the tenancy as “prospective” and ensure emails and contact details are added. The room will now show as a status “under offer”


Kexgill prepare contracts for mailmerge

You will need to prepare your contract for mail merge by adding Arthur`s variables and uploading your contract


Kexgill create a tenancy contract

You are now ready to mailmerge.


Kexgill Send out the document for a digital signature

Once created the document can be sent out for signature


Kexgill receives signed contract back

Once the document is received you can now set the tenancy status to “Approved” which will set automatically the unit status to “let”. It would be prudent at the point of changing the tenancy status to approved to have Arthur automatically send send Hull an email notifying them that the contract has been received by adding an action to the status change.

Also I would suggest inviting the tenant to the account at the point the tenancy becomes approved


Kexgill DO NOT recieve signed contract back

If the contract  is not received you can now set the tenancy status to “Rejected” which will set automatically the unit status to “available to let”. It would be prudent at the point of changing the tenancy status to rejected tot have Arthur automatically send send Hull an email notifying them that the contract was not received by adding an action to the status change.

Also I would suggest an email to the tenant explaining this rejection. Hull can now enter a new tenancy


Creating reports

Reports can be created for most KPI`s. These would need to be investigated further
