Understanding the unit status and how “available from” is calculated

This article looks at:

  1. What is the status of the units
  2. How does the status of the tenancy affect the status of the unit
  3. How to override the unit status and update manually
  4. How is Available from calculated

1. What is the status of a unit

  • Available
  • Under offer
  • Let
  • Unavailable to let

*Please note that vacant and occupied are not a status. An available unit can be either vacant or occupied.

  • If a unit is available and the tenancy status=Ending the unit is OCCUPIED
  • If a unit is available and the tenancy status =PAST the unit is VACANT

2. How does the status of the tenancy affect the status of the unit

When the status of the tenancy has updated the status of the unit will change automatically. This is linked to Understanding the tenancy journey

  • Tenancy status set to prospective will automatically set the unit status to under offer
  • Tenancy status set to approved, current and periodic will automatically set the unit status to let
  • Tenancy status set to ending, past or rejected will automatically set the unit status to available to available

3. How to override the status of the unit

Go to the Units>>edit

4. How is Available from calculated

This column is an option on the unit index page

You can filter through a specific date or a date range

  • Status=Approved or current – available from is the latest end date or Move out date
  • Status=Periodic tenancy – available from will always be empty
  • Status=Ending – available from is the end date of the tenancy unless there is a move out date in which case it looks at the earliest

a/ Move out date is 1 day earlier than end date then available from is from the earlier date

b/ Move out date is 1 day later than end date then available from is from the later date

  • Status=Past – available from will have an end date or move out date whichever is the latest
