What happens when an enquiry comes in via the portals and what to set up to automate a notification to the team

All incoming enquiries coming through the portals will arrive in Arthur as an applicant as well as an enquiry within the viewings area. If that applicant further enquires it will show simply in the enquired area of the viewings BUT WILL NOT create a further applicant.

1. Where to view new applicants and enquiries

New applicants and enquiries will be seen on the dashboard.

Enquiries will come in from:

  • Rightmove
  • Zoopla
  • Facebook Marketplace
  • StuRents
  • Client Website

 

2. Where to find new applicants

Within the applicant area, the applicants will show for the first time. If that applicant then enquires again on another one of your adverts NO new applicant will be created, the new enquiry will be added to the applicant activity log together with a new enquiry.

 

 

3. Where to find new enquiries

Within the viewing area, the filter ‘Enquired’ will show the list of enquiries.

 

 

4. How to build automated actions to notify your team there is a new enquiry

To do this, a manual event will need to be created. This is linked to understanding automated events.

Step 1

Create a manual event in settings>automated events>viewings

 

Create conditions as shown:

 

 

See created event, now add actions to this:

 

Step 2

Create your actions. Examples shown here include a response to the enquiry and a notification for the team of a new enquiry.
