By accessing our Website and using our Service, You consent to the terms of this Policy and agree to be bound by it and our Terms of Use.

1. When this Privacy Policy applies

This Privacy Policy (“Policy”) applies to our sites, products, and services (collectively, “Services”) that link to this Statement. Arthur Online Ltd. is the responsible entity for all Personal Information subject to this Statement for our Services targeted to U.K. customers.

2. Arthur Online collects Your personal information

A) Types of information Arthur Online collects.

Arthur Online is a provider of property management software that’s simple, smart, and secure and gives property managers and their invited users access to information. In connection with accessing our Services, we may collect information from you which can be used to identify you (“Personal Information”)*, such as your name, shipping/billing address, email address, phone, username, password, taxation details, and accounting and financial information.. We collect information when you register or open an account, sign in, pay a bill, purchase a Service, call us for support, or give us feedback. We also collect content or other information that you may provide or create when you interact with our Services.

We may also automatically collect certain usage information when you access our Services (“Usage Data”), such as Internet Protocol (“IP”) addresses, log files, unique device identifiers, pages viewed, browser type, any links you click on to leave or interact with our Services, and other usage information collected from cookies and other tracking technologies. For example, we collect IP addresses to track and aggregate non-personal information, such as using IP addresses to monitor the regions from which users navigate to our Services.  We also collect IP addresses from users when they log into the Services as part of our log-in and security features.

You can always choose not to provide Your personal information, but it may mean that we are unable to provide You with the Service. If you set up an administrator account that may be accessed by people other than you, please note that they may see and have the ability to change or delete your Personal Information.

*“Personal information” is information about an identifiable individual, and may include information such as the individual’s name, email address, telephone number and bank account details.

B) How Arthur Online uses your information:

Account Registration: We may use your name, address, phone number, and email address to register your Arthur Online Account for certain Services we provide and to communicate important information to you.

Communicate with You and Tell You About Other Services:  We may use your information to communicate with you about our Services. You are able to opt out of this at any time.

To Provide Our Services and Operate Our Business: We may use your information to operate our business, including providing Services you requested, provide you with support related to our Services, and to help us protect our Services, including to combat fraud and protect your information.

Customer Service and Technical Support: We may use your name, username, phone number, email address, how you interact with our Services, and information about your computer configuration to resolve questions you may have about our Services and to follow up with you about your experience. We also offer an Internet chat service, for example, to speak with an Arthur Online support representative. Internet Chat transmissions are hosted by Intercom and encrypted but you should not supply more Personal Information, than is required to address your specific issue. A transcript of the session is retained to resolve questions or issues related to our Services.

Feedback: We may use any information you volunteer in surveys you answer for us and combine them with answers from other customers in order to better understand our Services and how we may improve them. Answering any survey is optional.

Research, Including Publishing or Sharing Combined Information from Many Users, But Only in a Way that Would Not Allow You or Any Other Person to be Identified: Only in a way that would not allow you or any other person to be identified, we may prepare and share information about our customers with third parties, such as advertisers or partners, for research, academic, marketing and/or promotional purposes. For example, we may share demographic data that describes the percentage of our customers who use mobile services or who use a particular operating system. We or our third party partners may publicly report the aggregated findings of the research or analysis, but only in a way that would not allow you or any other person to be identified.

Protection of Arthur Online and Others: We may share account information, Personal Information and Usage Data when we believe it is appropriate to enforce or apply our products’ Terms of Service and other agreements; or protect the rights, property, or safety of Arthur Online, our Services, our users, or others. This includes exchanging information with other companies and organisations for fraud protection and credit risk reduction. This does not include selling, renting, sharing, or otherwise disclosing Personal Information of our customers for commercial purposes in violation of the commitments set forth in this Privacy Statement.

Response to Subpoenas and Other Legal Requests: We may share your information with courts, law enforcement agencies, or other government bodies when we have a good faith belief we’re required or permitted to do so by law, including to meet national security or law enforcement requirements, to protect our company, or to respond to a court order, subpoena, search warrant, or other law enforcement request.

Sale of Our Business: If we sell, merge, or transfer any part of our business, we may be required to share your information. If so, you will be asked if you’d like to stop receiving promotional information following any change of control.

With your Consent: Other than as set out above, we will provide you with notice and the opportunity to choose when your Personal Information may be shared with other third parties.

C) Syncing, Linking or Connecting Your Arthur Online Account with Other Third Party Services

We work with other companies or developers to offer you products and services and you may choose to sync, link or connect your Arthur Online account to. Sometimes Arthur Online may let you know about the service or product, or another company may let you know about an Arthur Online service or product. It will be clear who is referring the service or product, and who is providing the service or product. If you choose to accept these services, providing your consent to either the third party or to us, we may exchange your information, including your Personal Information, as well as information about how you interact with each company’s service or product. This exchange of information is necessary to maintain business operations and to provide the ongoing service you’ve requested. By requesting or accepting these products or services, you are permitting us to provide your information, including your Personal Information, to the other party.

By using the Service, You consent to Your personal information being collected, held and used in this way and for any other use You authorise. Arthur online will only use Your personal information for the purposes described in this Policy or with Your express permission.

It is Your responsibility to keep Your password to the Service safe. You should notify us as soon as possible if You become aware of any misuse of Your password, and immediately change your password within the Service or via the “Forgotten Password” process.

3. Arthur Online may receive personal information from You about others

Through Your use of the Service, we may also collect information from You about someone else. If You provide us with personal information about someone else, You must ensure that You are authorised to disclose that information to us and that, without us taking any further steps required by applicable data protection or privacy laws, Arthur Online may collect, use and disclose such information for the purposes described in this Policy.

This means that You must take reasonable steps to ensure the individual concerned is aware of and/or consents to the various matters detailed in this Policy, including the fact that their personal information is being collected, the purposes for which that information is being collected, the intended recipients of that information, the individual’s right to obtain access to that information, Arthur Online’s identity, and how to contact Arthur Online.

Where requested to do so by us, You must also assist us with any requests by the individual to access or update the personal information You have collected from them and entered into the Service.

4. What you can do to manage your Privacy

a) Managing Marketing Communications From Us: We will honour your choices when it comes to receiving marketing communications from us.

You have the following choices if you have been receiving marketing communications from us that you no longer wish to receive:

  • Click the “unsubscribe” link in the email or newsletter you received.
  • Subject to your control, our mobile application may send push notifications to your mobile device.  If you are receiving push notifications and no longer wish to receive these types of communications, you may turn them off at the device level.

Remember that even if you choose not to receive marketing communications from us, we will continue to send you mandatory service or transactional communications.

b) Updating Your Personal Information: In connection with your right to manage your Personal Information you provide to us, you may access, update, change, correct or request deletion of your information either through the Service or through our customer support. You can reach our customer support by using the contact information provided in the “How to Contact Us” section of this statement.

c) Cookies and Other Tracking Technologies: The following is a high level summary of our practices and your controls for cookies and other tracking technologies.

In accordance with applicable law, Arthur Online and our service providers may use commonly-used tools to recognize your visit and track your interactions with our Services such as cookies, web beacons, pixels, local shared objects, and similar technologies (collectively, “Cookies”). Sometimes this tracking is necessary in order for us to provide you the Service you requested. Other times, we combine Usage Data collected from Cookies with that of other customers to improve your and other customers’ experience. You have control over some of the Usage Data we collect from Cookies and how we use it. Information on changing your browser settings to opt out of Cookies can be found in your browser settings.

In accordance with the Digital Advertising Alliance Principles, Arthur Online also uses advertising networks and other third parties to manage our advertising on other sites. Our third party partners may place Cookies on unaffiliated websites in order to serve advertisements that may be relevant to you based on your browsing activities and interests, and to determine the effectiveness of such advertisements. If you wish to opt out of interest-based advertising, click here, or if located in the European Union, click here.

Please note that even if you out-out of such Cookies or otherwise opt-out of interest based advertising, you will still receive advertisements, they just won’t be tailored to your interests. Also, if you opt-out and later delete your Cookies, use a different browser, or buy a new computer, you may need to renew your opt-out choices.

d) Do Not Track: Like most other companies, our Services are not currently configured to respond to browsers’ “Do Not Track” signals because at this time no formal “Do Not Track” standard has been adopted. Click here for more information on “Do Not Track.”

5. Data Retention and Your Access Rights

a) Data Retention: In accordance with and as permitted by applicable law and regulations, we will retain your information as long as necessary to serve you, to maintain your account for as long as your account is active, or as otherwise needed to operate our business. When you close your account, we may continue to communicate with you about our Services, give you important business updates that may affect you, and let you know about products and services that may interest you, unless you have opted out of receiving marketing communications. We may also continue to use some of your information for business purposes and to improve our offerings or in some cases to develop new ones. We will retain and use your information as required by applicable regulations and Intuit’s records and information management policies to comply with our legal and reporting obligations, resolve disputes, enforce our agreements, complete any outstanding transactions and for the detection and prevention of fraud.

b) Your Access Rights: As required by applicable law, including the U.S.-E.U. Privacy Shield Framework, you may contact us to confirm whether we maintain, or process on behalf of a third party, any of your Personal Information and to review it in order to verify its accuracy and the lawfulness of our processing of such Personal Information.

c) Correction and Removal of Data: It is Your responsibility to ensure that the personal information You provide to us is accurate, complete and up-to-date. You may request access to the information we hold about You, or request that we update or correct any personal information we hold about You, by setting out Your request in writing and sending it to us at

Arthur Online will process Your request as soon as reasonably practicable, provided we are not otherwise prevented from doing so on legal grounds. If we are unable to meet Your request, we will let you know why. For example, it may be necessary for us to deny Your request if it would have an unreasonable impact on the privacy or affairs of other individuals, or if it is not reasonable and practicable for us to process Your request in the manner You have requested. In some circumstances, it may be necessary for us to seek to arrange access to Your personal information through a mutually agreed intermediary (for example, the Subscriber).

6. Arthur Online holds your personal information on servers located in the U.K

All Data, including personal and non-personal information, that is entered into the Service by You, or automatically imported on Your instruction, is transferred to our servers as a function of transmission across the Internet. By using the Service, You consent to Your personal information being transferred to our servers as set out in this Policy.

Currently our servers are located in London and Ireland  by Amazon cloud services, Inc. (AWS), and Your personal information will be routed through, and stored on, those servers as part of the Service. AWS complies with relevant aspects of the U.S.-EU Safe Harbor Framework and has certified that it adheres to relevant Safe Harbor Privacy Principles. If the location of our servers change in the future, we will update this Policy. You should review our Policy regularly to keep informed of any updates.

By providing Your personal information to us You consent to us storing Your personal information on servers hosted in the EU. While Your personal information will be stored on servers located in the EU, it will remain within our effective control at all times. The server host’s role is limited to providing a hosting and storage service to Arthur Online, and we’ve taken steps to ensure that our server hosts do not have access to, and use the necessary level of protection for, Your personal information.

If You do not want Your personal information to be transferred to a server located in the EU, You should not provide us with Your personal information or use the Service.

7. Arthur Online takes steps to protect your personal information

Arthur Online is committed to protecting the security of Your personal information and we take all reasonable precautions to protect it from unauthorised access, modification or disclosure. Your personal information is stored on secure servers that have SSL Certificates issued by leading certificate authorities Entrust & GTE Cybertrust, and all Data transferred between You and the Service is encrypted. You can find out more about our security arrangements and our data protection measures on our security page.

However, the Internet is not in itself a secure environment and we cannot give an absolute assurance that Your information will be secure at all times. Transmission of personal information over the Internet is at Your own risk and You should only enter, or instruct the entering of, personal information to the Service within a secure environment.

We will advise You at the first reasonable opportunity upon discovering or being advised of a security breach where Your personal information is lost, stolen, accessed, used, disclosed, copied, modified, or disposed of by any unauthorised persons or in any unauthorised manner.

8. Arthur Online does not store Your debit card details

Your debit card details are not stored by the Service and cannot be accessed by Arthur Onlines staff. Your debit card details are encrypted and securely stored by GoCardless and stripe to enable Arthur Online to automatically bill your debit card or credit card on a recurring basis. You should review Gocardless Limited’s Privacy Policy  and Stripe`s privacy policy to ensure you are happy with it.

9. You are responsible for transfer of Your data to third-party applications

The Service may allow You, the Subscriber, or another Invited User within the relevant subscription to the Service to transfer Data, including Your personal information, electronically to and from third-party applications. Arthur Online has no control over, and takes no responsibility for, the privacy practices or content of these applications. You are responsible for checking the privacy policy of any such applications so that You can be informed of how they will handle personal information.

10. Arthur Online has a privacy complaints process

If You wish to complain about how we have handled Your personal information, please provide our Privacy Officer with full details of Your complaint and any supporting documentation:

Will endeavour to:

  • provide an initial response to Your query or complaint within 10 business days, and
  • investigate and attempt to resolve Your query or complaint within 30 business days or such longer period as is necessary and notified to you by our Privacy Officer.

This policy may be updated from time to time

Arthur Online reserves the right to change this Policy at any time, and any amended Policy is effective upon posting to this Website. Xero will make every effort to communicate any significant changes to You via email or notification via the Service. Your continued use of the Service will be deemed acceptance of any amended Policy.
